The Thank-You Email After an Interview: A Small Step That Sets You Apart (With Templates)

The interview is over and the waiting begins. But there is one simple step most candidates skip: a short thank-you note. It reminds the interviewer of you, shows professionalism and can tip the balance between two close candidates.

When should you send it?

  • Within 24 hours of the interview.
  • Directly to the interviewer if you have their email, or via the recruiter who arranged it.
  • On LinkedIn if you don't have an email address.

What should you write?

  1. Thanks for their time and the opportunity.
  2. One specific point from the interview that you liked or that fits your skills.
  3. A confirmation that you are interested in the role.
  4. A polite close. Ideally no more than 5 lines.

Subject: Thank you – Customer Service Representative interview

Dear Ms. Fatima,

Thank you for taking the time to meet with me today. I enjoyed learning about how your team handles customer requests across phone and chat, and I'm confident my communication skills and call-handling training would help me contribute quickly.

I remain very interested in the role and look forward to hearing from you.

Best regards,
Ahmed Ali

A second template (receptionist role)

Subject: Thank you for the Receptionist interview

Dear Ms. Fatima,

Thank you for your time today and for the chance to meet the team. I liked what you shared about the company's focus on customer experience, and I look forward to contributing with my communication and scheduling skills.

I remain very interested in the position and look forward to your reply.

Kind regards,
Sara Ahmed

No reply? The follow-up email

If the date they gave you has passed, or about a week has gone by with no date given, send a short follow-up:

“Dear Ms. Fatima, I hope you're well. I wanted to follow up on my interview on 12 October for the Customer Service Representative role. I'm still very interested and would be glad to provide any further information. Thank you for your time.”

Follow up once, twice at most, then focus on other opportunities.

Mistakes to avoid

  • A long email that repeats your whole CV.
  • The same message to every company with no detail from the interview.
  • Asking “Have I been accepted?” in the thank-you email.
  • Misspelling the interviewer's name or the company name.

The interview itself matters more than the thank-you note

If your interviews don't end in offers, the cause is usually preparation. In the Job Readiness Program (3 live hours for 19 AED) we practise introducing yourself and the most common questions. See also strengths and weaknesses and the expected salary question.
