How to Handle an Angry Customer: 7 Steps Customer Service Professionals Use

In any customer service job you will meet an angry customer, often on your first day. And “How do you handle an angry customer?” is one of the most frequent customer service interview questions. The good news: it is a skill you can learn with clear steps.

The seven steps

1. Listen to the end

Don't interrupt. The customer needs to get it all out first, and interrupting makes them angrier.

2. Show empathy

“I completely understand how frustrating this must be.”

3. Apologise for the experience

Apologising for the inconvenience is not admitting fault before you have checked.

“I'm sorry for the inconvenience this has caused you.”

4. Ask clarifying questions

Gather the facts: order number, date and exactly what happened. Then summarise the problem in your own words so the customer feels understood.

5. Commit to a solution

“I'll take care of this for you right now. Here's what I'm going to do...”

6. Be clear about timing

Don't promise what you can't deliver. If the fix takes 48 hours, say so clearly.

7. Close positively and follow up

Make sure the customer is happy with the next step, thank them for their patience and log the case in the system.

Mistakes that make the anger worse

  • Saying “Please calm down”: it tells the customer their anger isn't justified.
  • Blaming another department or the system in front of the customer.
  • Responding defensively or raising your voice.
  • Making unrealistic promises just to end the call.
  • Transferring between departments without explaining why.

How to answer this question in an interview

Use the STAR method: Situation, Task, Action, Result.

“In my previous job a customer called, angry that his order was a week late. I listened without interrupting, apologised for the delay, then tracked the shipment and found an error in the address. I corrected it with the shipping team, gave him the new delivery date and called him the next day to confirm. He thanked me at the end of the call.”

If you have no experience, describe the steps you would follow, or a similar situation from your studies or part-time work. See also the 20 most common customer service interview questions and the customer service skills employers want.
