How to Write a Professional Cover Letter: Steps and a Ready Template

Many job seekers skip the cover letter field or write one generic line. But a good cover letter sets you apart when candidates are equally qualified, and shows the recruiter you read the ad and know why you fit the role.

What's the difference between a CV and a cover letter?

  • CV: an organised summary of your experience, skills and education.
  • Cover letter: a short letter aimed at one specific job, explaining why you fit it and why you want to work at that company.

In other words: the CV says what you did, and the letter says why it matters for this job.

The right structure in 4 paragraphs

1. Opening

Name the job you are applying for, where you saw the ad, and one sentence summing up why you are a good candidate.

2. What you offer

Pick two or three skills from the ad's requirements and give a short example of each from your experience or training.

3. Why this company

One or two sentences showing you know the company: its services, its values or a recent project.

4. Closing

Thank the reader, say you would welcome an interview, and include your contact details.

Golden rules

  • Length: 250 to 350 words. One page at most.
  • Personalisation: use the correct company name and job title. A generic letter is spotted from the first line.
  • Keywords: use the ad's own terms, as some ATS systems read the letter too.
  • Language: write in the language of the ad. If the ad is in English, so is the letter.
  • Don't repeat your CV: don't list everything; choose what suits this job.

Ready template: customer service role

Dear Hiring Manager,

I am applying for the Customer Service Representative position at [Company Name], as advertised on [LinkedIn]. With strong communication skills in Arabic and English and hands-on training in call handling and complaint resolution, I am confident I can deliver the service experience your customers expect.

During my recent customer service training, I practised real call flows, handled difficult-customer scenarios and used CRM-style tools to log and follow up on requests. In my previous role at [Previous Company], I [handled around 40 customer enquiries a day / resolved customer issues on the first contact], which taught me to stay calm, listen carefully and focus on solutions.

I am particularly drawn to [Company Name] because of [its focus on customer experience / its growth in the UAE market], and I would welcome the opportunity to contribute to your team.

Thank you for considering my application. I look forward to discussing how I can support your customers.

Kind regards,

Replace everything in square brackets with your real details, and delete any sentence that doesn't apply to you.

Common mistakes

  • Opening with “To whom it may concern” when the recruiter's name is available.
  • Talking only about what you want from the job instead of what you will give the company.
  • Typos in the company name or job title.
  • Copying the same letter for every job.

It isn't mandatory for every job, but it sets you apart when optional and becomes very important when the ad explicitly asks for it.

Roughly 250 to 350 words, and no more than one page.

Should I write my cover letter in Arabic or English?

Write it in the language of the job ad; most private-sector ads in the UAE are in English.
